Notion life operating system

Your mind was never meant to be the filing system.

The Mental File Cabinet is a done-for-you Notion system built for homeschool moms who feel like they have 47 tabs open in their brains at all times. Let's close those tabs and give them all a home.

See it in action

Watch the walkthrough

See every drawer in real time, so you know exactly what you're getting before you decide.

If it crosses your mind, it has a home.

You don't need five apps and a stack of notebooks to keep track of your life.   There's a place for everything and all of it lives in the same system, so nothing depends on you remembering it at 11pm.

Recipe idea → Recipe Book
Book recommendation → Book List
Hobby you want to try → Hobbies + Interests
Something you're grateful for → Prayer + Gratitude
Beautiful book quote → Commonplace Book
Random task before you forget → Master Task List
Big someday dream → Goals
Cycle symptoms → Wellness
Homeschool test scores → Students
Book notes → Learning + Growth

I could keep going . . . but I think you get the idea!

Household Drawer

No more keeping track of everything or hoping you won't forget.

Everything needed to run your home all in one place: meal planning, cleaning, laundry, home repairs, house projects, budgeting and more - all in one place!

  • Meal planner + family recipe book
  • Zone-based cleaning rotation
  • Kid-run laundry system, by age
  • Home reference for appliances, providers, and passwords
  • House projects
  • Budgeting + bills page with a custom Google Sheets budget

Homeschool Drawer

You don't need another planner. You need a place to hold your homeschool all in one place.

This is the drawer you'll live in often. It's not just a place to store curriculum, it's the system that turns a stack of books into a rhythm your family can actually follow.

  • Curriculum mapping + drag-and-drop weekly board
  • A page for every student
  • Book list, growth journal, and attendance tracker
  • Test scores + daily lesson plans
  • Summer + activities + field trip planning

Family Drawer

You shouldn't have to remember everything about everyone, all the time.

From holiday traditions to gift ideas you had in July, from appointment notes to kids' clothing sizes, this drawer holds the parts of family life that don't fit anywhere else.

  • A page for every family member
  • Holidays + traditions planning
  • Appointment notes, illnesses, and clothing sizes
  • One-on-one date ideas
  • Vacation planner for research, plans, and packing
  • Track activities, movies, shows, and games for family time

Commitments Drawer

Tracking your commitments in your emails and texts is not a system.

Every organization, sign-up, and outside commitment lives in one drawer, connected to everything else you're already tracking.

  • Church info and serving notes
  • Volunteer roles tracked by schedule, location, and contact
  • All organizations, extracurriculars, and work/business information & tasks
  • Handbooks, sign-up sheets, and directories

Rest + Play Drawer

You plan everyone else's day. This drawer is the one that's just yours.

Hobbies, reading, wellness, and more. This is a space carved out that isn't attached to anyone else's needs or wants but your own.

  • The Rest Menu for 15 minutes, an hour, or a whole day
  • Workout library, planner, and wellness log
  • Personal reading list
  • Media library
  • Hobbies page for projects, tutorials, and supplies

Reflection Drawer

This isn't another journal you'll abandon by February.

This one lives indefinitely and has homes for your random thoughts, lists, notes, journal, quotes, prayers, and gratitude.

  • Prayer list with answered prayers tracked
  • Daily gratitude record
  • Commonplace book for quotes and passages
  • Learning + growth tracker, just for you
  • A place for random lists, thoughts, and ideas

Command Center

You don't need more willpower. You need a system that remembers for you.

Your master task list, projects, and goals all connect back here, so nothing you plan lives in isolation.

  • One Daily Dashboard you open first thing
  • Weekly + Monthly Admin to stay on top of everything
  • Yearly Planning that looks at your whole life, not just the homeschool part of it
  • Tasks, Goals, and Projects all have a home and are linked to many other areas in ways that a paper planner just cannot do

Everything that's inside

Six drawers, a full planning spine, and a command center for tasks, projects, and goals. A place for everything in your life (plus video tutorials to teach you how to add anything else).

40+ pages. One workspace. Every part of the mental load has a place to live outside of your mind.

You're never figuring this out alone

Every single page has both a short video and written instructions built right in, plus video tutorials for learning Notion, setting up your Mental File Cabinet, and making it your own.

On Every Page

A quick video walkthrough and written notes live right on each page, so help is never buried in a separate manual.

Notion 101

A beginner-friendly walkthrough covering everything you need to know to get started using Notion.

Making It Your Own

A video tutorial teaching you how to make changes, easily add information, and get the most out of your MFC.

Works wherever you already are

Laptop, phone, or tablet. No design skills needed, no paid Notion plan required.

Works on Notion's free plan

Questions before you go all in

Do I need a paid Notion account?

No. The Mental File Cabinet runs entirely on Notion's free plan. You'll create a free account (takes about two minutes), click the link in your purchase email, and duplicate the cabinet into your own workspace. Everything inside works without upgrading. If you ever want Notion's paid features for other reasons, great, but this was built so you'd never need to.

Will this work on my phone?

Yes. Every page was built to be usable in the Notion mobile app, not just squished onto a small screen as an afterthought. That matters, because let's be honest: you're not adding the dentist appointment at your desk. You're adding it in the pickup line, or in the Target parking lot, or while someone is yelling for a snack. Laptop, tablet, or phone, it's the same cabinet everywhere.  There are quick capture sections and brain dumps that connect to your planning pages so even if you can't add something exactly where it needs to go, you can still jot it down somewhere you can check later.

I'm not techy. Is this going to be another thing I abandon?

This is the question I care about most, because I've abandoned plenty of systems myself. Every drawer comes with a short video walkthrough, and you never have to build a database, write a formula, or figure out what a "relation" is. You're moving in, not renovating. And you don't have to set up the whole thing at once. Open one drawer, use it for a week, then open the next. A system you use a little beats a perfect one you never touch.  Also, this can build for years and years whereas a planner only lasts one year and it isn't integrated with anything else.  Once you get to understand Notion (which I will teach you through the video and written tutorials and my Notion 101 video built-in to the Mental File Cabinet), you will be off to the races!

What if I already have a planner system I like?

Then keep what's working! If you love your paper planner for your daily to-dos, the Mental File Cabinet can hold everything that doesn't fit on a planner page: the recipe you want to try, the book your friend recommended, the kids' shoe sizes, the co-op commitments, the curriculum you're eyeing for next year. It replaces the scattered version (phone notes, sticky notes, three half-used notebooks) with one place. If you already have one system that's genuinely holding everything, you probably don't need this. If you're patching together five, this was built for you.

How long does it take to set up?

Not a weekend. Most of it is already built, so you're filling drawers, not building them. Start with the one that's stressing you out most (for most of us that's meals or the calendar), get it working, then move into the next drawer when you're ready. None of it is meant to be setup all at once.  I've included a video and instructions for the order of setting it up that won't feel overwhelming.  Just get to know the lay of the land, watch some of the videos, and then setup pages as life guides you to.  When it's time to plan for Christmas, set up the Holidays + Traditions page.  When it's time to plan for the next school year, do your planning in the School Year Planning page. It's designed to be very intuitive and to be filled in over time.

I only have one or two kids. Is this overkill for me?

Nope. The mental load isn't only a big-family problem. Every family has appointments, meals, school plans, and forty things living rent-free in mom's head. The drawers flex to your family, so a smaller family just means less to file, not a system that doesn't fit.

Can my husband use it too?

Yes. Notion lets you share pages, so you can give him access to the drawers he actually needs (like the calendar or meal plan) without handing him the whole cabinet. He may need to create his own free Notion account to view or edit.

Can my kids see or use any of it?

That's completely up to you. You're in full control of what gets shared and with whom. Give your older kids access to their own Homeschool page so they can see their own assignments and book lists, or keep the entire workspace private and just relay information to them yourself. Either way works. Some families find that letting a student see their own page builds a little independence into their homeschool day; others prefer to keep the whole system as the parent's command center. There's no wrong way to do it.

What if Notion goes away someday?

Notion is used by millions of people and companies around the world, from solo creators to major teams, and isn't going anywhere anytime soon. But even setting that aside: because the Mental File Cabinet lives inside your own free Notion account, not on some third-party platform I control, you're never locked into anything on my end. Your data is yours, stored in your account, accessible anytime. If you ever wanted to export it or move it elsewhere, that's entirely within your control too.

Is my family's information private and secure?

Completely. The Mental File Cabinet lives entirely inside your own personal Notion account, the one only you control. I never have access to what you type into it, not your family's schedule, not your finances, not your passwords, nothing. Notion uses standard account security and encryption to protect your data, the same as it does for millions of individuals and companies who use it every day. If you're storing something especially sensitive like passwords, I'd still recommend a dedicated password manager for those specifically, but everything else, your calendar, your curriculum, your family's whole life, is exactly as private as your own Notion account already is.

Why pay for this when there are free Notion templates?

Because free templates are usually built for a college student's to do list or an  entrepreneur's content calendar, not a homeschool mom running a school, a household, and a family all at once. The Mental File Cabinet was built from inside that exact life by a real mom of four, with video walkthroughs for every drawer and lifetime updates. You could spend hours adapting a free one. Or you could just move in.  Plus, most free templates aren't fully integrated, filled with a page for every part of your life, and beautiful to boot!

Do I get updates if you improve the template later?

Yes, and this matters more than it might seem. As I use this system myself, and hear from other families using it, I'm going to keep refining it: fixing small friction points, adding features, improving pages that could work better. Lifetime updates are included with your purchase, so anytime the template improves, you will receive instructions for adding that improvement as well, at no extra cost, for as long as you own it. You're not buying a static file that goes stale, you're buying into a system that keeps getting better.

What's your refund policy?

Because this is an instant digital product, all sales are final. I want you to feel sure before you buy, so take a look through the drawer screenshots and the full walkthrough video at the top of this page to see exactly what's inside. Still unsure? Send me a message on Instagram (@homeschoolglue) and I'll help you figure out if it's the right fit for your family.

Hi, I'm Sarah.

I built the Mental File Cabinet because I was the mom holding everyone's whole life in my head, and I was tired of it. I'm not a perfect mom. I'm just a homeschool mom of four who got sick of surviving the week and decided to build something that actually holds the load for me. This is that system, built for you too.

You've been a walking file cabinet for your family. It's time something else did that job.

You'll never find more time. But you can stop spending it trying to remember everything.
